Automate Screenshots and Short Clips With ShareX

One hotkey for a region shot, one for a clipped video, both saved to dated folders and uploaded only when you say so - without a subscription.

by@guidox updated:10/30/26 time:15 min level:Beginner tested on:Windows 11 24H2, ShareX 17 works on:Windows 10, Windows 11 tools:ShareX
TL;DR

Set **ShareX** to capture a region to a dated folder with one hotkey and a short clip with another. Keep **auto-upload off** until you have checked the destination.

Before you start

Requirements

  • ShareX from getsharex.com or the Microsoft Store
  • A hotkey that no game uses
  • A folder you actually back up
Step by step

Instructions

01

Set the output folder

Open **Application settings > Paths** and point the screenshot folder at something predictable. The default is under Documents and disappears from every backup rule people write.

D:\hots\yyyy-%MM
tipShareX understands date patterns in the folder name, so each month lands in its own folder.
02

Bind two hotkeys

Under **Hotkey settings** assign one key for **Rectangle region** and one for **Screen recording (FFmpeg)**. Pick combinations a game will not steal - Alt and Ctrl combinations are the usual victims.

Print Screen > Rectangle region
Ctrl + Shift + Print Screen > Screen recording
03

Configure the capture

In **Task settings > Capture** decide whether the cursor is included and whether the last region is remembered. In **Image settings** keep the format at PNG for screenshots and set a JPEG quality for photos.

Image format: PNG
Include cursor: only for videos
04

Record a clip, not a session

The FFmpeg recording task can keep the last 30 seconds in memory. That is the useful mode: press the key after something happened instead of recording for an hour.

Screen recording options > Keep buffer: 30 s
tipThe buffer costs RAM equal to the bitrate times the length. 30 seconds at 10 Mbit/s is about 40 MB.
05

Keep uploads manual

Leave **After capture tasks** at save-only until you have configured a destination. An automatic uploader publishes your desktop to the internet the first time you forget.

⚠ warningIf you do upload, check the destination's retention settings before the first clip of anything private.
06

Add the one useful extra

Enable **OCR** in the tools menu if you copy text from screenshots, and the colour picker if you work with designs. Everything else in ShareX can stay untouched.

Troubleshooting

Common issues

The hotkey does nothing

Another app owns it - usually the GPU overlay or a chat client. Change the ShareX binding, or run ShareX as administrator if the focused window is elevated.

Recordings are a black screen

The capture method cannot hook the game. Switch to the desktop duplication method in the screen recording options.

Clips have no audio

The audio source is not selected. Pick the playback device in the FFmpeg settings and test with a ten-second clip.

Screenshots look blurry on a 4K screen

The image is being saved at 50% scale. Set the resize option back to 100%.

FAQ

Frequently asked

Do I need the Store version?

No. The portable build from the website updates itself the same way and does not tie you to the Store.

Can it replace the Xbox Game Bar?

For screenshots and clips, yes, with better file naming and no overlay.

How to undo this

Exit ShareX and remove it from autostart in Task Manager. The captured files stay in the folder you configured - delete that folder if you do not want them.
