Rebuild the Windows Search Index When Results Go Missing

Start menu and Explorer stop finding a file that clearly exists - usually the index is out of date, too small or bound to the wrong folders. A rebuild fixes it in one evening.

by@guidox updated:10/31/26 time:20 min level:Beginner tested on:Windows 11 24H2 works on:Windows 10, Windows 11
TL;DR

Check **Settings > Privacy & security > Searching Windows** first: **Classic** only indexes libraries, **Enhanced** indexes the whole drive. Then rebuild the index in **Indexing Options** and let it finish before you search again.

Before you start

Requirements

  • Windows 11
  • Admin rights
  • A few hours where search may be slow
Step by step

Instructions

01

Check the search scope first

Windows indexes a defined list of folders, not the whole disk. Open **Settings > Privacy & security > Searching Windows** and read **Find my files**. Enhanced searches everything but costs CPU; Classic is faster and covers libraries only.

Settings > Privacy & security > Searching Windows
tipSwitching the mode starts a new index. Do not switch back and forth while it is still building.
02

Look at the indexed locations

Open **Indexing Options** and read the list of folders. A folder that is missing from that list cannot show up in Start or in Explorer results, no matter how often you retype the name.

control /name Microsoft.IndexingOptions
03

Remove what you never search

A huge index takes longer to build and returns noisier results. Remove build folders, game directories and temporary paths before you rebuild - an index of a few hundred thousand files is fine, one over a million slows the search box visibly.

⚠ warningDo not remove the user profile root. Libraries are added on top of it, and starting over is a lot of waiting.
04

Rebuild and let it finish

In Indexing Options open **Advanced > Rebuild** and confirm. The index restarts from zero; the item counter climbs for minutes or hours depending on file count and disk speed.

Indexing Options > Advanced > Rebuild
⚠ warningSearch is incomplete while the rebuild runs. Start it in the evening, not five minutes before a deadline.
05

Restart the search service

If the counter does not move, the **Windows Search** service is stuck or disabled. Set it to **Automatic (Delayed Start)**, start it and watch the counter again.

services.msc > Windows Search > Automatic (Delayed Start)
06

Verify the result in three places

Test in the Start menu, in File Explorer with the search box, and in the app you actually use. A file missing in only one of them points at that app's own index, not at Windows.

tipSearch for a phrase inside a document to confirm content indexing, not only file names.
Troubleshooting

Common issues

The index stays at zero items

The service is stopped or blocked by policy. Check the event log for Search errors and confirm the service is not disabled in the registry.

Search finds folders but not file contents

Content indexing is limited to selected file types. Add the extension under Advanced > File Types and rebuild again.

Files in OneDrive are missing

Files On-Demand keeps placeholders that are not indexed until opened. Pin the folder for offline use or add its local path to the index.

The rebuild never finishes

The index is chasing a network path or a huge archive folder. Remove that location from Indexing Options and rebuild again.

FAQ

Frequently asked

Does a rebuild delete anything?

No. Only the index database is recreated; files and folders stay untouched.

Will the PC be slower during the rebuild?

While it runs, yes. It throttles itself, so leave the machine on overnight.

How to undo this

Nothing here is destructive. If you changed the search scope, set **Find my files** back to its previous mode and the old index rebuilds on its own.
