Type Long Documents Faster With Windows Voice Typing

Windows ships a dictation mode on Win + H. With auto punctuation, the right microphone and short sentences it handles paragraphs, not only search boxes.

TL;DR

Press **Win + H**, enable **auto punctuation**, choose your microphone and dictate in whole sentences. Pause between sentences, because the pause is what creates the full stop.

Before you start

Requirements

  • Windows 11
  • A working microphone
  • A quiet room
Step by step

Instructions

01

Start dictation in a text field

Click into a text field and press **Win + H**. The toolbar appears above the taskbar and starts listening; the first run asks for permission to use online speech recognition.

Win + H
02

Configure the toolbar

Open the gear icon on the toolbar and set the microphone, **auto punctuation** and the profanity filter. Auto punctuation is the single setting that turns dictation into something readable.

tipPick the microphone by name, not by default device. A headset that is muted in the OS is the most common silent failure.
03

Speak in sentences, not in words

Dictate one sentence at a time and stop at the full stop. Running sentences together produces a wall of text with commas where they do not belong, and correcting that takes longer than typing it would have.

04

Use spoken punctuation and commands

Say **comma**, **period**, **question mark** and **new line** where auto punctuation guesses wrong. **Delete that** removes the last phrase, **undo** reverts the last change.

"new line" "delete that" "undo"
05

Use it where dictation wins

Long prose, emails, notes and transcripts work well. Code, file paths and URLs do not - acronyms and symbols arrive as words, and correcting them costs more time than typing them.

⚠ warningNames of people and products are worth adding to the document by hand afterwards. The recogniser guesses them wrong reliably.
06

Know the privacy setting

Online speech recognition sends audio to Microsoft while it is enabled. It lives under **Settings > Privacy & security > Speech**; switching it off can disable dictation entirely depending on the language pack.

Settings > Privacy & security > Speech
Troubleshooting

Common issues

Win + H does nothing

The focus is not in a text field, or another app grabbed the shortcut. Try it in Notepad first.

The toolbar shows a microphone error

The default input device is muted, disconnected or blocked by privacy settings under Settings > Privacy & security > Microphone.

The same words come out wrong every time

Move the microphone closer and check for a fan or a keyboard in the pattern. Noise suppression helps more than speaking louder.

My language is not offered

Install the speech pack under Settings > Time & language > Language & region for that language, then restart the toolbar.

FAQ

Frequently asked

Does dictation work offline?

Only for languages with an installed speech pack and with online recognition off. Most setups use the online path.

Is my audio stored?

With online recognition on, audio is sent to Microsoft for processing. Turn the setting off if that is not acceptable for your work.

How to undo this

Turn off online speech recognition under Settings > Privacy & security > Speech. No other setting in this guide changes the system.
