Use Offline Files to Keep Network Folders Available

TL;DR

Enable the **Offline Files** feature, make the share available offline with **Always available offline**, then check the sync state in **Sync Center**.

Before you start

Requirements

  • A network share
  • Admin rights
  • 20 minutes
Step by step

Instructions

01

Check that the feature is available

Offline Files is a Windows feature that some editions disable. The service and the optional component both have to be present.

Get-WindowsOptionalFeature -Online -FeatureName OfflineFiles -ErrorAction SilentlyContinue | Select-Object FeatureName,State
Get-Service CscService | Select-Object Name,Status,StartType
Get-ItemProperty 'HKLM:\SYSTEM\CurrentControlSet\Services\CscService\Parameters' -ErrorAction SilentlyContinue | Select-Object * -ExcludeProperty PS*
02

Enable and start it

The service must run before any folder can be cached. Enabling it needs a restart on most builds.

Enable-WindowsOptionalFeature -Online -FeatureName OfflineFiles -All -NoRestart
Set-Service CscService -StartupType Automatic
Start-Service CscService
Get-Service CscService | Select-Object Status,StartType
03

Mark the folder for offline use

**Always available offline** starts the initial sync. The folder must be reachable at that moment, because the cache is built from the live share.

net use S: \\server\projects
Get-ChildItem S:\ | Select-Object -First 10 Name
# right-click the folder > Always available offline
Get-ChildItem S:\ -Recurse | Measure-Object -Property Length -Sum | Select-Object Count,Sum
04

Check the sync state

**Sync Center** shows pending changes and conflicts. A folder with items pending will not be current after a reconnect until it syncs.

mobsync.exe
Get-ChildItem "$env:systemroot\CSC" -Force -ErrorAction SilentlyContinue | Select-Object Name,Mode
Get-WinEvent -LogName Application -MaxEvents 50 | Where-Object ProviderName -match 'Offline|Csc' | Select-Object TimeCreated,Id,Message -First 3
05

Test the offline behaviour

Disconnect the network and open the folder. A cached file opens; an uncached one shows a placeholder error. That difference is the proof.

Get-NetAdapter | Where-Object Status -eq 'Up' | Disable-NetAdapter -Confirm:$false
Start-Sleep -Seconds 5
Get-ChildItem S:\ | Select-Object -First 5 Name,Length
Get-NetAdapter | Where-Object Name -eq 'Wi-Fi' | Enable-NetAdapter
06

Resolve conflicts before they grow

Two machines editing the same cached file create a conflict copy. Reading the Sync Center result and keeping one version is the only clean fix.

Get-ChildItem S:\ -Filter '*conflict*' -Recurse -ErrorAction SilentlyContinue | Select-Object FullName,LastWriteTime
mobsync.exe /logon
Get-Service CscService | Select-Object Status
Troubleshooting

Common issues

The Always available offline option is missing

The feature is disabled, or the share is not an SMB share. Only SMB shares can be cached this way.

The folder does not open offline

The initial sync never completed. Reconnect and let Sync Center finish before testing again.

Changes made offline are lost

The sync failed on reconnect. Check the Sync Center results and the event log for the file that could not be written.

The cache is huge

The offline cache grows with the folder. Limit the selection to the subfolders you actually need.

FAQ

Frequently asked

Is this the same as OneDrive Files On-Demand?

The idea is similar, the mechanism is not. Offline Files caches an SMB share; OneDrive syncs a cloud folder.

Does it encrypt the cache?

The cache can be encrypted as part of the offline files configuration. On a laptop that leaves the office, that matters.

Can two users share one cache?

No. The cache is per user, and each account builds its own copy.

How to undo this

Unmark the folder with Always available offline, then disable the feature with Disable-WindowsOptionalFeature -Online -FeatureName OfflineFiles and set CscService back to Manual.
