Use Virtual Desktops Instead of a Messy Taskbar

Three desktops for three kinds of work, with their own windows and their own hotkeys - and a rule for what never gets its own desktop.

by@guidox updated:10/30/26 time:10 min level:Beginner tested on:Windows 11 24H2 works on:Windows 10, Windows 11
TL;DR

Create one desktop per **context** - work, media, admin - and switch with **Ctrl + Win + Arrow**. Pin the browser to one desktop with **Show windows from this app on all desktops** only if you actually need it.

Before you start

Requirements

  • Windows 10 or 11
  • A keyboard with a Windows key
  • Ten minutes to define the contexts
Step by step

Instructions

01

Define the contexts, not the apps

Decide on two or three contexts before creating anything: for example Focus, Communication and Everything else. Desktops named after apps multiply until you have nine of them.

Desktop 1: Focus
Desktop 2: Communication
Desktop 3: Everything else
02

Create and switch

Press **Ctrl + Win + D** to add a desktop and **Ctrl + Win + Left/Right** to move between them. **Ctrl + Win + F4** closes the current one and moves its windows to the next.

Ctrl + Win + D new desktop
Ctrl + Win + Left/Right switch
Ctrl + Win + F4 close desktop
03

Move windows between desktops

Open Task View (**Win + Tab**) and drag a window onto another desktop. Alternatively use **Alt + Tab** after switching, which brings the window with you.

Win + Tab
tipDragging in Task View is the fastest way to clean up a desktop you created by accident.
04

Keep the browser on all desktops only if needed

Right-click a taskbar icon and tick **Show windows from this app on all desktops** for the browser or chat client. Everything else should stay where it belongs, or the desktops stop meaning anything.

⚠ warningPinning more than two apps to all desktops turns the feature back into one messy desktop.
05

Give each desktop a name

Windows 11 lets you rename desktops in Task View. The name is the reminder of what belongs there, and it stops the drift into four desktops with the same mixture.

06

Restart clean

Windows does not save virtual desktops across a reboot. Keep the desktop definition small enough that rebuilding it takes a minute, and use **Win + Shift + S** to note the layout if you need it.

Troubleshooting

Common issues

The hotkeys do nothing

A game or an app grabbed them. Check the overlay software and the keyboard's own macro layer.

The second monitor does not switch

Virtual desktops on Windows switch per display only with **Win + Tab** and the option on the desktop thumbnail.

Windows close when I close a desktop

Closing a desktop moves its windows to the neighbouring one - unless the app cannot move, then it closes.

Everything ends up on one desktop again

The app is pinned to all desktops. Right-click the taskbar icon and turn that option off.

FAQ

Frequently asked

Do virtual desktops save resources?

No. They organise windows; the apps keep running.

Can I have different wallpapers per desktop?

Not natively. Windows applies one wallpaper to all desktops.

How to undo this

Close the extra desktops with **Ctrl + Win + F4** and untick the all-desktops option on the taskbar icons. Nothing else changes.
